Chapter 9 built the systems; this chapter equips and defends them. The first half tours the tools — physical and digital — with the ADHD-specific selection rules that generic productivity advice leaves out. The second half faces the two problems that actually kill systems: the environment's constant bid for your attention, and the quiet decay that sets in once any system stops being new. That last topic is the chapter's real destination, because everyone with ADHD has a graveyard of abandoned planners, and the difference between people whose systems work isn't better systems — it's knowing that maintenance is a skill of its own.
Tools, and the skill nobody teaches
The rest of the toolkit — reminders, calendars, planners, blockers — and then the part most books leave out: what to do when all of it stops working. Because it will, and that's normal operation rather than failure. I'll sit with you.
The Physical Layer¶
Visual reminders apply Chapter 9's out-of-sight rule as a tool class: the environment itself becomes the reminder. The trash can in front of the door on trash night, the sticky note on the steering wheel, the library book on the driver's seat, the whiteboard at eye height by the coffee maker. Two rules keep them working. Put the reminder where the action happens or where the body will be at action time — a note in the kitchen can't fire at the car. And rotate their look: visual reminders suffer the same novelty decay as everything else — a note that hangs for three weeks becomes wallpaper, so move it, change the color, rewrite it. A stale reminder isn't neutral; it trains the eyes to skip that spot.
Decluttering for ADHD earns different advice than the minimalism industry sells, because clutter and ADHD have a specific mechanical relationship: every visible object is a micro-bid for the spotlight (Chapter 3's distractibility) and a micro-load on the budget (Chapter 2), yet out of sight is out of mind means aggressive tidying can delete working systems — the papers "put away nicely" are, functionally, gone. The resolution is selective visibility, not minimalism: clear the active work surfaces to near-empty (the desk, the kitchen counter — the places attention must survive), keep action items visible on purpose (the launchpad, the clipped form), and give storage a low bar (open bins beat lidded boxes beat labeled filing cabinets — every step of filing friction is a pile waiting to happen; the doom pile on the chair is not a moral failure, it's a filing system with honest pricing). Declutter in timed sprints with a body double (Chapter 9's tools pointed at their own maintenance), never in heroic whole-house weekends that end in a worse midpoint than the start.
Designated places got their principle in Chapters 3 and 9 — the bowl, the hook, the charger shelf; locations doing the remembering — and here's the tool-level addendum: the home must be at the point of use (keys live where you exit, medication lives where the morning coffee happens, the dog leash lives on the actual door). A designated place across the room from the habit it serves is a system with a commute, and systems with commutes die. When an object keeps failing to come home, move the home closer to the behavior instead of re-committing to the walk.
The Digital Layer¶
The single highest-value setting
Give travel time its own alert, before the event. "Leave for dentist" at 2:30 does work that "dentist" at 3:00 cannot, because the 3:00 alert fires when you're already late. Time blindness needs the departure cued, not the destination.
Digital calendars are the highest-value digital tool for this brain, for one mechanical reason: they fire — a paper calendar must be remembered-to-be-checked (Chapter 9's planner autopsy), while a digital one interrupts on schedule. The ADHD usage rules: everything dated goes in at capture time (the moment of commitment, Sam's rule), every entry gets an alert — and travel-time gets its own alert before the event ("leave for dentist" at 2:30, not "dentist" at 3:00, because the 3:00 alert fires when you're already late — time blindness needs the departure cued, not the destination). Shared family calendars deserve a sentence: they externalize the household's prospective memory in one place both readers can see, replacing a whole genre of "I told you about this" fights with infrastructure.
Planner systems — the paper world's answer — work for real people with ADHD, with eyes open to their known failure mode (they don't fire) and the fixes: the planner lives in one forced sightline (open, on the desk — never in a bag), gets checked at a stacked moment (after coffee; Chapter 9's habit stacking), and stays simple — the elaborate bullet-journal spreads that flourish on social media are craft projects with a planner attached, gorgeous for the novelty month and heavy forever after. Choose the format you'll maintain on a bad day, not the one that photographs well on a good one. Paper's genuine advantages — no notifications living behind it, free-form capture, the satisfaction of crossing out — make it the better choice for some people; the test is behavioral, not ideological: whichever one you actually check daily for a month wins.
Reminder apps round out the digital kit: location-based reminders ("when I arrive at the store: milk" — firing on geography, which time-based memory can't do), recurring chores with checklists, medication apps with escalating nags, and shared lists that let a family add to the same grocery list from three phones. Selection rule for all of them: capture speed beats feature count — if adding an item takes four taps, items won't get added, and the app becomes another pretty graveyard. One capture point (Chapter 9's monopoly rule) still applies; apps multiply easily, and every additional inbox is a new place for things to be lost.
Defending the Attention¶
Distraction blockers are software that makes the wrong thing harder to reach during chosen windows — app timers, website blockers, focus modes that gray the phone into a tool instead of a casino. They matter more for ADHD than for other brains for a reason Chapter 2 made precise: the modern phone is a machine engineered to win exactly the reward-system auction ADHD loses by the widest margin — infinite novelty, variable rewards, zero delay. Willpower against that machine is Chapter 1's retired strategy; friction wins where resolve fails. The engineering rules, learned from a decade of this population using these tools: schedule blocks in advance (the decision to block, made calmly at breakfast, beats the same decision attempted mid-doomscroll); make unblocking slow but possible (a 30-second friction delay outperforms an absolute wall, because absolute walls get uninstalled on day four); pair the block with physical distance (the kitchen charger from Chapter 9 — layered defenses fail independently); and treat the inevitable defeats as data, not verdicts (which app won, at what hour, guarding what feeling? Tired-avoidant 9 pm scrolling is a sleep problem and a Chapter 6 flag, not a blocker configuration problem). A worked example of layering: Omar (Chapter 3's kitchen table) now does homework with the phone on the kitchen charger (distance), the laptop's blocker covering games and video for the sprint window (friction), notifications off (silence), and a Pomodoro timer visible (urgency). Any single layer fails weekly; the stack fails rarely — and when it fails, one layer usually held long enough for him to notice the drift, which is all a defense needs to do.

Instructional rationale: The chapter's claim is architectural — single defenses fail independently, stacks degrade gracefully — and letting the learner configure and compare runs demonstrates the architecture experientially, which prose assertion cannot.

Notification management is the blocker's always-on companion, and the framing that makes it stick: every notification is an interruption you pre-authorized — a stranger's claim on your working memory, sold to you as convenience. The audit takes ten minutes and pays daily: turn off everything, then re-enable only what genuinely warrants an interruption (calls from favorites, the calendar, the medication alarm — the list is shorter than it feels); batch the rest behind scheduled summaries; and keep badges off the apps that farm compulsive checking. The Chapter 3 re-entry toll is the arithmetic to hold: each buzz costs not five seconds but the working-memory rebuild afterward — twenty authorized interruptions can hollow an afternoon.
Email and message triage applies the same defense to the inboxes: process in batches at chosen times (two or three daily windows beat continuous monitoring, which converts the whole workday into one long interruption), use the two-minute rule at the moment of reading (act now if tiny; otherwise capture to the real list and archive — re-reading a message six times deciding about it is the load leak), and grant yourself inbox amnesty when the backlog is measured in thousands (archive everything older than a month, declare bankruptcy honestly, and defend the fresh start with the batching rule). The unanswered-message shame spiral — where a reply gets harder every day it ages, until avoidance is total (Chapter 11 will name the feeling) — has one mechanical fix: the reply that says "sorry for the delay, short answer below," sent imperfect today, beats the perfect reply that never ships.
Absolute walls get uninstalled
A blocker with no override gets removed by day four. Make unblocking slow but possible — a 30-second delay outperforms a hard wall, and layered defences beat any single perfect one.
Choosing, Starting, and Paying Yourself¶
Prioritization methods exist because the everything-list (Chapter 9) still needs three items pulled from it, and ADHD complicates the pull in a known way: urgency and interest shout, importance whispers. The two tools worth owning: the urgent/important grid — whose entire ADHD value is the quadrant it exposes: important-but-not-urgent, the quadrant delay aversion renders invisible (the checkup, the retirement form, the maintenance this chapter ends with), which never wins an auction and must therefore be scheduled, not willpowered — and the one-question shortcut for overwhelmed mornings: "what, undone, causes the most damage by Friday?" Do that first; the rest is genuinely negotiable, whatever its volume.
Deadline scaffolding is the fix for the far-deadline paralysis Chapter 2 diagnosed: since distant deadlines are motivationally invisible, manufacture near ones — split the paper into staged mini-deadlines (outline Friday, sources Tuesday, ugly first draft Sunday), and attach a witness to each (the accountability partner, the study group, the boss cc'd on the plan — Chapter 9's people-tools bolted onto the calendar). The design detail that separates working scaffolds from decorative ones: each mini-deadline needs consequence or audience, however friendly — a self-imposed date with no witness is just the far deadline wearing a costume, and the reward system knows it.
Starting rituals attack the launch problem — Chapter 2's starter motor — with ceremony: a short, identical sequence that precedes work every time (same desk, headphones on, water poured, timer wound, one sentence written about what this sprint is for). The mechanism is classical conditioning plus decision-elimination: the ritual becomes the runway, and the brain learns that this sequence ends in takeoff. Keep it under three minutes — a forty-minute "getting ready to work" ritual is procrastination with better branding. Momentum and activation names the physics the ritual exploits: for ADHD, starting is the expensive part and continuing is nearly free — the activation energy is the wall, and once moving, hyperfocus often takes the wheel. Hence the five-minute contract: commit to five minutes with permission to quit after. Most sessions continue — but the contract only keeps working if quitting at five is actually honored the times it's invoked, because a five-minute contract that secretly means forever is a lie the reward system stops accepting.
Reward systems — self-administered payoffs for completed work — need one honest ADHD-specific redesign: distant rewards don't motivate (the discount curve again), so pay immediately and small (the episode after the sprint, the good coffee during the boring task — bundling beats sequencing when the task is long), make the payment visible in advance (written on the today-list next to the task it's wired to), and actually collect (skipped rewards teach the system the currency is fake — collecting is maintenance, not indulgence). For families: rewards you offer an adult are wages from a boss; rewards they design and you help defend are infrastructure. The difference is Chapter 14's whole subject.
System Maintenance: The Skill Nobody Teaches¶
Decay is the design, not the failure
Every system arrives with a full tank of novelty that burns down over weeks. People whose lives look organised aren't running ten-year-old systems — they're running this month's version, patched and restarted. A system that ran six weeks worked for six weeks.

System maintenance is the chapter's closing argument and the toolkit's missing manual: every system in Chapters 9 and 10 will eventually stop working, and this is normal operation, not failure. The mechanism is one you've already studied — novelty is fuel for this brain (Chapter 2), and every new system arrives with a full tank that burns down over weeks; Chapter 3's abandoned-hobby curve applies to the tools themselves. The people whose lives look "organized" aren't running ten-year-old systems; they're running this month's versions — patched, shrunk, restarted, and occasionally replaced. So the skill is a maintenance loop, and it's the single most valuable habit this Part of the book can install:
- Schedule a weekly review — ten minutes, same anchored slot (Sunday coffee), with its own alarm, because the review is itself a system and inherits all the failure modes.
- Ask three questions: What worked this week? What's quietly decaying (the wallpapered reminder, the unchecked planner, the blocker that got uninstalled)? What does next week actually need?
- Patch small, on the spot: move the note, shrink the routine, re-anchor the stack. Five-minute fixes during review beat rebuilds after collapse.
- Refresh novelty deliberately: rotate the reminder's color, change the timer app, move the desk — cosmetic change is legitimate fuel, not superficiality; this brain runs on it.
- When something has fully died, hold a cheerful funeral: harvest what worked ("alarms yes, categories no"), carry the parts into the next version, and skip the self-indictment. A system that ran six weeks worked for six weeks; the graveyard is a parts bin, and every rebuilt version starts smarter than the last.
The worked example that reframes the whole toolkit: two years of Rosa's household systems, honestly narrated. The whiteboard thrived, went stale in month four, revived when moved beside the coffee maker. The shared calendar survives untouched — it fires, so it needs no devotion. The Sunday review has died twice and been restarted twice, smaller each time; its current form is five minutes and two questions. The key bowl is eternal. Net effect across two years: the four recurring fights stayed gone — not because any system proved immortal, but because the family treated maintenance as normal, so no collapse ever ran longer than a week before a patched version stood back up. That stance — systems are perishable, tending them is Tuesday work, nobody's character is on trial when one dies — is the actual deliverable of Chapters 9 and 10, and it's what the Personal Owner's Manual (Chapter 15) will ask the reader to write down.
For both readers
Put one recurring ten-minute "system review" slot on the shared calendar right now — with an alarm — and agree on its only two questions: what's decaying, and what's the five-minute patch? For the family reader, one vocabulary swap carries this whole chapter: when a system dies, replace "you stopped using it again" with "which parts worked? — let's keep those." The first sentence audits a person; the second one maintains a system.

What happened is the documented lifecycle, not a failure: novelty fuel burned down on schedule (the system ran two months — that's two months of wins already banked), and without a maintenance loop, decay went unpatched until collapse. Probably several small deaths compounded: the ritual drifted, one blocker got uninstalled on a bad night, badges crept back on. The move is the maintenance loop, not a rebuild-from-zero: hold the cheerful funeral, harvest the parts that worked (the kitchen charger held; the ritual worked until it drifted), restart shrunk — maybe just distance-plus-timer — and install the missing piece, a weekly ten-minute review with its own alarm, so the next decay gets a five-minute patch instead of a November discovery. Nobody's character is on trial
When the whiteboard goes stale and the routine collapses, that's a Tuesday event with a Tuesday fix: harvest what worked, restart smaller. That stance is the actual deliverable of these two chapters.
What to Carry Out of This Chapter¶
For the reader with ADHD:
- Pick tools that fire (alerts, alarms, location reminders) over tools that wait to be remembered — and give travel time its own alert.
- Defend attention in layers: distance plus friction plus silence plus a timer. Single defenses fail; stacks degrade gracefully.
- Your systems are perishable by design. The weekly ten-minute review — patch, shrink, refresh, restart — is the one habit that keeps all the others alive.
For the reader who loves someone with ADHD:
- Shared calendars and shared lists are marriage infrastructure; they retire whole categories of "I told you" fights.
- When a system dies, audit the system, not the person: "which parts worked?" is maintenance; "you quit again" is corrosion.
- The important-but-not-urgent quadrant is where family help matters most — offer to be the witness on the scaffolded deadlines that have no natural audience.
